Due to the continued growth of our Consulting Practice, we are currently interviewing for an Administrative Assistant to be based in our New York City office.  This role will provide high level support through assisting with client documents, calendar management, and project management.

Responsibilities

Your immediate responsibilities will be to:

  • Administrative Support for managers, directors and/or partners in the firm: Prepare expense reports and time entry
  • Coordinate travel arrangements as needed
  • Manage various aspects of meeting logistics (scheduling, location, location set-up, catering
  • Coordinate travel, registrations, etc. for annual conferences
  • Maintain electronics calendars (MS Outlook), coordinate appointments and organize meetings
  • Assist with client billing, generate billing reports, and create invoice attachments
  • Support project team(s) with subcontractor management activities
  • Run weekly/monthly financial data reports
  • Enter prospective client opportunity data and generate reports
  • Provide support to help ensure resource management system accuracy; assist with reporting
  • Maintain team resumes
  • Support new hire on-boarding efforts
  • Provide support as necessary to the execution of the team’s training curriculum
  • Assist with execution of business plan initiatives
  • Support the team with ad-hoc projects / research / requests  
  • Participate in ad-hoc consulting or firm-wide projects
  • Provide team with document management support
  • Type and format correspondence
  • Prepare job arrangement letters (contracts) and assist in client deliverables as required
  • Assist with the preparation of proposals, client deliverables and marketing activities
  • Handle general administrative tasks
  • May be required to take notes at meetings
  • Provide back-up support to other managers, directors, partners when other administrative assistants are on leave

Qualifications

The successful candidate will have: 

  • A high school diploma. Associate or undergraduate degree preferred
  • At least seven years (7), previous administrative experience within a professional services firm highly desired
  • Demonstrated analytical, organization, interpersonal, and critical thinking skills
  • Excellent written/verbal communications and collaboration skills
  • Strong process improvement, project management and change management skills
  • Ability to work in a fast paced environment and exhibit a sense of urgency to complete work in a timely manner
  • Professional demeanor and the ability to handle manners confidentially
  • Demonstrated level of technical proficiency with Microsoft Office 2010, Word, Excel and Power Point and Access at the Advanced levels
  • Ability to work effectively in a team environment and with all levels
  • Self-starter, with initiative, and able to work independently when needed
  • Integrity and respect within a professional environment
  • Ability to work overtime as needed
